Outpost is an online community operated by Ultraeum, Inc. under the Trailspect brand. This Privacy Policy explains what information Outpost collects, how that information is used and disclosed, how content visibility works, how long information may be retained, and the choices available to you.
This Privacy Policy applies to Outpost at https://outpost.trailspect.com, related account and invitation functions, and emails generated through Outpost. It does not govern independent websites or services that may be linked from Outpost.
By creating an account or using Outpost, you acknowledge this Privacy Policy. Your use of Outpost is also governed by the Terms of Service.
Adults Only
Outpost is intended for adults. You must be at least eighteen years old to create an account or participate.
Ultraeum, Inc. does not knowingly collect personal information through Outpost from anyone under eighteen. A person under eighteen should not create an account, accept an invitation, participate, or provide personal information through Outpost.
A parent or legal guardian who believes that a person under eighteen supplied information through Outpost may contact team@ultraeum.com.
Ultraeum, Inc. may suspend or close an underage account and delete or anonymize associated information. Some information may be retained when reasonably necessary for legal compliance, safety, security, fraud prevention, record retention, backup management, enforcement of the Terms, or dispute resolution.
Information We Collect
Account and Profile Information
When you create or use an account, Outpost may collect:

Your email address.

Your username and any display name you provide.

Your profile photograph, avatar, biography, and other profile fields.

Your account preferences and notification settings.

Your account-creation, login, verification, and authentication records.

Records showing confirmations of, or acknowledgments relating to, the Terms of Service and Privacy Policy.

Information associated with account status, trust level, moderation, warnings, suspensions, or other administrative actions.
Outpost may use email verification or passwordless email login where available. A unique link or code may be sent to your email address to verify that you control it or to authenticate your login.
Invitations and Group Information
Outpost may collect and retain information about:

Invitations sent or received.

The inviter and invited email address.

Invitation links, codes, redemption status, and expiration.

Membership in regional, role-based, event, pilot, early-access, staff, or other groups.

Requests to join a group and decisions regarding those requests.

Permissions associated with particular Spaces, Zones, discussions, chats, or other community areas.
This may include invitation-only pilot or gathering groups, such as groups associated with Tahoe Trail Week.
Content and Community Activity
Outpost may collect information that you create or generate through participation, including:

Discussions, posts, replies, comments, uploads, and links.

Reactions, likes, flags, reports, mentions, and other evaluations of content.

Direct messages and group messages.
-
Chat messages.
-
Information showing what content you have read, followed, bookmarked, muted, or watched.

Search activity within Outpost.

Moderation reports and communications with staff.

Support requests, feedback, and other communications with Ultraeum, Inc.
Information You Voluntarily Provide
You may choose to provide information about your:

Home county, county equivalent, Connecticut planning region, Region, or general location.

Outdoor interests, activities, experience, and participation.
-
Club, race, business, professional, stewardship, or community affiliations.

Events, gatherings, travel, volunteer work, or trail activities.
-
Local knowledge, access information, customary practices, hazards, conditions, or other place-specific information.

Qualifications, roles, experience, or professional background.
Do not provide sensitive information that you do not want other authorized users, message recipients, or service providers to retain or process.
Technical, Security, and Usage Information
Outpost and its service providers may automatically collect:

Internet Protocol addresses.

Browser type and version.
-
Device type, operating system, and related device information.
-
Referral information and requested pages.
-
Dates and times of access.
-
Cookies, session identifiers, and preference information.
-
Server, application, email-delivery, error, and security logs.

Information used to detect spam, bots, fraud, unauthorized access, or abuse.

Approximate location inferred from an Internet Protocol address.

Records associated with account verification, authentication, invitations, and security events.
How Content Visibility Works
Outpost contains areas with different visibility and permission settings. A label such as private, restricted, or members-only limits access through Outpost, but it does not guarantee that recipients will keep information confidential.
Public Content
Some Outpost pages, profiles, discussions, or other content may be visible without signing in. Public content may be:

Viewed by anyone.

Indexed or cached by search engines.
-
Copied, quoted, photographed, downloaded, or redistributed by others.
-
Preserved in archives or third-party systems outside Ultraeum, Inc.'s control.
Content Visible to Logged-In Users
Some content is visible only to people who are signed in. Logged-in access reduces public visibility, but any authorized user may still copy, quote, save, or redistribute what they can see.
Restricted Group, Space, or Zone Content
Some content is limited by group membership, role, event participation, regional access, or another permission. It may be visible to:

Members of the authorized group.

People granted access through another authorized group or role.
-
Staff, administrators, or moderators with appropriate system permissions.

Service providers that process the information to operate, secure, or support Outpost.
Group membership and permissions may change. Removal from a group may prevent future access but does not erase information already seen, copied, downloaded, quoted, or received by others.
Direct Messages
Direct messages and group messages are ordinarily visible to the sender and designated recipients. They may also be accessible to authorized staff or technical service providers when reasonably necessary to:

Investigate a report or safety concern.

Address spam, fraud, harassment, abuse, or a security incident.

Provide technical support.
-
Enforce the Terms of Service.
-
Comply with law or legal process.
Recipients may retain, copy, photograph, forward, or redistribute messages. Do not use direct messages for information that must remain confidential.
Chat Messages
Chat messages may be visible to members of the relevant channel, group, or direct-chat conversation, as determined by current permissions.
Outpost is currently configured to retain both channel chat messages and direct or group chat messages for 90 days. Messages are then scheduled for automatic removal from the active chat system. Copies may remain temporarily in backups, logs, moderation records, reports, screenshots, exports, notifications, or material retained by recipients.
The 90-day period does not prevent another person from copying or preserving a message before its scheduled removal.
How We Use Information
Ultraeum, Inc. may use information collected through Outpost to:

Create, verify, authenticate, maintain, and secure accounts.

Provide passwordless or email-based login where available.

Operate discussions, messaging, chat, invitations, groups, permissions, and notifications.

Determine access to regional, role-based, event, pilot, or restricted areas.

Personalize account settings and community navigation.

Send requested service, security, invitation, account, moderation, and activity emails.
-
Respond to support requests, reports, questions, and feedback.
-
Detect, prevent, investigate, and respond to spam, bots, fraud, abuse, harassment, unauthorized access, and security incidents.

Moderate content and enforce the Terms of Service and community rules.

Preserve records of user confirmations, notices, account actions, and disputes.

Protect users, Ultraeum, Inc., service providers, and the public.
-
Comply with legal obligations and respond to lawful requests.

Maintain, troubleshoot, evaluate, and improve Outpost.

Create aggregated or de-identified information that does not reasonably identify an individual.
Automated Spam and Bot Screening
Signup Screening
Outpost uses hCaptcha to help determine whether a signup attempt is made by a person rather than an automated system.
When you interact with hCaptcha, it may process information such as:

Your Internet Protocol address.

Browser, device, platform, and operating-system information.
-
Date and time information.
-
Cookies or similar technical identifiers.
-
Mouse movements, scrolling, keypresses, touch events, and similar interactions.

Your responses to any challenge presented.

Security, risk, and verification results.
hCaptcha processes information under its own terms and privacy practices. Its Privacy Policy is available at hCaptcha | Privacy Policy.
AI-Assisted Spam Screening
The Outpost Host Provider supplies a hosted AI spam-detection system. It may evaluate certain eligible posts from newer or lower-trust accounts to determine whether they appear to be spam.
Information provided to that system may include:

Post content and limited surrounding discussion context.

Topic title and location within Outpost.
-
Username and email address.
-
Account age, posting history, and trust level.
-
Internet Protocol-derived location information.
-
Limited image attachments associated with an eligible post.
-
Outpost’s name, address, description, and category information.
Direct messages are not intended to be included in this automated post-spam screening.
An automated result may cause content to be flagged, hidden, or referred for staff review. Staff may review and correct automated decisions.
Cookies and Similar Technologies
Outpost uses cookies and similar technologies that are necessary to:

Keep you signed in.

Maintain account and security sessions.
-
Remember settings and preferences.
-
Deliver requested functions.
-
Prevent fraud, bots, and abuse.
-
Support hCaptcha and other security controls.
Your browser may allow you to block or delete cookies. Blocking necessary cookies may prevent login, signup, hCaptcha verification, or other Outpost functions from working correctly.
Outpost does not currently use a separate third-party analytics service for behavioral advertising or general traffic measurement.
When Information May Be Disclosed
Ultraeum, Inc. may disclose information in the following circumstances.
Outpost Host Provider
The Outpost Host Provider processes information as necessary to provide:

Website and database hosting.

Account creation and authentication.

Email verification and forum notifications.
-
Content storage and delivery.
-
Direct messages and chat.
-
Logs, backups, and technical support.
-
Spam, abuse, security, and moderation systems.

Hosted AI spam detection.
The Outpost Host Provider may use its own personnel and subprocessors to provide these services.
hCaptcha
hCaptcha processes signup interaction and technical information to provide bot and abuse screening.
Staff and Authorized Personnel
Administrators, moderators, group managers, contractors, or other authorized personnel may access information when reasonably necessary to operate Outpost, administer permissions, assist users, moderate conduct, investigate reports, or protect security.
Access to restricted information does not authorize personnel to use it for unrelated purposes.
At Your Direction
Information is disclosed when you post it to an audience, send it to a recipient, join a visible group, identify an affiliation, or otherwise direct that it be shared.
Legal, Safety, and Enforcement Reasons
Information may be disclosed when Ultraeum, Inc. reasonably believes disclosure is necessary to:

Comply with law, regulation, subpoena, court order, or other legal process.

Respond to a lawful government request.

Enforce the Terms of Service or other agreements.

Investigate or prevent fraud, abuse, unlawful conduct, or security incidents.

Organizational Transactions
Information may be disclosed as part of a financing, restructuring, merger, acquisition, sale, transfer, bankruptcy, or similar transaction involving all or part of Ultraeum, Inc. or Outpost, subject to applicable law.
No Sale of Personal Information
Ultraeum, Inc. does not currently sell personal information collected through Outpost or disclose it for cross-context behavioral advertising.
Outpost does not currently process payments or collect payment-card information.
Data Retention
Retention depends on the type of information, how it is used, and applicable legal, security, and operational needs.
Accounts and Profiles
Account and profile information is generally retained while an account remains active. Some information may remain after account closure when needed for security, legal compliance, Terms enforcement, recordkeeping, fraud prevention, or dispute resolution.
Posts, Discussions, and Uploads
Posts, discussions, replies, and uploads may remain available until deleted, anonymized, removed by staff, or removed under applicable retention rules.
Closing an account does not necessarily delete contributed content. Content may instead be retained under an anonymized account or with identifying profile information removed.
Direct Messages
Direct messages may remain in the accounts and records of senders and recipients. Deleting or closing your account may not remove copies held by recipients, quoted in another message, included in a report, or retained for legitimate legal, security, or moderation purposes.
Chat Messages
Channel chat messages and direct or group chat messages are currently subject to a 90-day active retention period, subject to the limitations described above.
Invitations and Group Records
Invitation, access, and group-membership records may be retained while relevant to account access, community administration, security, auditing, enforcement, or dispute resolution.
Terms and Policy Records
Records showing agreement to, confirmation of, or notice concerning the Terms of Service or Privacy Policy may be retained for as long as reasonably necessary to document the applicable agreement, enforce rights, comply with law, or resolve a dispute.
Logs and Security Records
Technical, email, authentication, moderation, and security logs are retained for limited operational periods determined by their purpose and the systems maintained by Ultraeum, Inc. and the Outpost Host Provider.
Relevant records may be retained longer when associated with suspected fraud, abuse, litigation, a security incident, a legal hold, or enforcement of the Terms.
Backups
Information removed from active systems may remain temporarily in encrypted, restricted, or otherwise protected backups until those backups are overwritten or expire through ordinary backup cycles. Backup systems are not ordinarily searched or altered to remove individual records unless required by law and reasonably feasible.
De-Identified and Aggregated Information
Ultraeum, Inc. may retain aggregated or de-identified information that cannot reasonably be linked to an individual.
Access, Correction, and Deletion Requests
You may update certain profile information and preferences through your account settings.
Outpost does not currently provide a generally available self-service account-deletion button. To request access, correction, account closure, deletion, or anonymization, contact team@ultraeum.com.
Ultraeum, Inc. may need to verify your identity before acting on a request. Verification may require access to the account or email address associated with it.
Depending on the request, Ultraeum, Inc. may:

Correct account or profile information.

Close or suspend the account.
-
Delete information.
-
Anonymize retained contributions.
-
Decline or limit a request when retention is permitted or required by law.
Limits on Deletion and Control
Ultraeum, Inc. cannot guarantee complete removal of information that:

Remains temporarily in backups.
-
Must be retained for legal, security, fraud-prevention, tax, recordkeeping, enforcement, or dispute-resolution purposes.

Has been quoted or incorporated into another user’s post.
-
Was sent to and retained by another message recipient.
-
Was copied, downloaded, photographed, exported, cached, archived, or redistributed by another person.
-
Appears in moderation records, reports, security logs, or legal records.
-
Has been aggregated or de-identified so that it no longer reasonably identifies you.
-
Is technically or legally impracticable to remove from systems outside Ultraeum, Inc.'s control.
Removing information from Outpost does not require another person to delete an independent copy that they lawfully retained, although other laws or agreements may impose separate duties on that person.
Privacy Settings and Personal Responsibility
Privacy and group settings control access through Outpost. They cannot prevent an authorized viewer or recipient from retaining or redistributing information.
Before posting or sending information:

Check the audience and permissions.

Do not assume that restricted content is confidential.

Do not provide precise location information, personal contact details, health information, financial information, identification documents, confidential business information, or other sensitive information unless disclosure is necessary and you accept the associated risk.

Obtain appropriate permission before sharing another person’s personal information.
Information Security
Ultraeum, Inc. and its service providers use administrative, technical, and organizational measures intended to protect information against unauthorized access, alteration, disclosure, loss, or misuse.
No online service, transmission method, or storage system is completely secure. Ultraeum, Inc. cannot guarantee absolute security.
You are responsible for protecting access to your email account, devices, login links, authentication information, and Outpost account.

Third-Party Links
Users may post links to websites, services, organizations, events, maps, documents, media, or other resources not operated by Ultraeum, Inc.
Following a third-party link may allow that third party to collect information under its own terms and privacy policy. Ultraeum, Inc. does not control and is not responsible for independent third-party privacy practices.
Outpost does not currently use embedded third-party media as a standard platform integration. A link posted by a user does not mean that Ultraeum, Inc. endorses or controls the linked service.
Processing Locations
Ultraeum, Inc. and its service providers may process information in the United States and other countries where they operate or maintain service providers. Privacy and data-protection laws may differ among jurisdictions.
Additional Privacy Rights
Depending on where you live, applicable law may provide rights concerning access, correction, deletion, restriction, objection, portability, or information about how personal information is used or disclosed.
To submit a request, contact team@ultraeum.com. Ultraeum, Inc. may verify your identity and may deny or limit a request when permitted by law.
Ultraeum, Inc. will not discriminate against a person for exercising an applicable privacy right.
Changes to This Privacy Policy
Ultraeum, Inc. may revise this Privacy Policy to reflect changes in law, technology, service providers, Outpost features, or information practices.
The updated policy will be posted at Privacy - Trailspect Outpost, and the last-updated date will be changed.
When a change is material, Ultraeum, Inc. may provide additional notice through Outpost, email, account prompts, or another reasonable method. Outpost may require acknowledgment of a materially revised Privacy Policy when appropriate.
Material changes to the Terms of Service are governed by the Terms, including any requirement for affirmative agreement to revised Terms.
